Privacy Policy

This explains what personal information Frames Media collects, why we collect it, who we share it with, and what you can do about it. It covers our website, our enquiry form, and the photography and video we capture on shoots.

01Who we are

Frames Media is a photography and video production studio based in Currumbin Waters on the Gold Coast, working primarily with the marine industry across Australia. In this policy, "we", "us" and "our" mean Frames Media. "You" means anyone who contacts us, engages us, visits this website, or appears in content we capture.

We are committed to handling personal information openly and carefully. We have written this policy to reflect the Australian Privacy Principles set out in the Privacy Act 1988 (Cth), and we follow them as a matter of practice.

02What personal information we collect

When you send us an enquiry

Our enquiry form asks for the following. Only your name and email address are required.

  • Your name and email address
  • Your phone number and business name, if you choose to give them
  • The location of the proposed shoot
  • What kind of business you are, what you are after, your timing, and an indicative budget range
  • Anything you write in the message field

We also record the page the enquiry came from and the date and time it was sent, so we can respond in context.

When you become a client

  • Contact details for you and anyone on your team we need to coordinate with
  • Details of the vessel, business, location or subject we are engaging with
  • Correspondence between us, including email, phone notes and messages
  • Billing information such as your business name, address and ABN. Card payments are handled by our payment provider and we never see or store your full card number

When you visit this website

  • Standard technical information such as your approximate location, browser, device type and the pages you viewed
  • Analytics information about how the site is used, in aggregate

You do not have to identify yourself to browse this website. You can also deal with us anonymously or under a pseudonym where it is lawful and practical, though we usually cannot quote or deliver a project without knowing who you are.

03Photography and video

This section matters more for us than for most businesses, because capturing people is part of what we do.

In the course of a shoot we may photograph or film identifiable people. That can include our client, their staff and crew, charter guests, contractors, models or talent engaged for the shoot, and occasionally members of the public who happen to be in a public place such as a marina, a boat show or a waterway. Images and footage of an identifiable person are personal information, and we treat them that way.

How we handle it

  • Before a shoot involving guests, talent or staff, we ask the client to make sure everyone who will be captured knows the shoot is happening and what the content is for
  • Where a shoot involves engaged talent or models, we obtain a written release
  • We do not deliberately film people in places where they would reasonably expect privacy
  • Raw footage is stored on our own equipment and backup drives, not published

Portfolio and social use

Unless we have agreed otherwise in writing, we may use finished work in our own portfolio, website and social media channels to show what we do. If you or anyone in your content would prefer we did not, tell us and we will not. There is no process to go through and we will not ask you to justify it.

If you appear in our content and want it removed

Email contact@framesmedia.com.au with enough detail to identify the image or video. We will take it down from anything we control, and stop using it going forward.

Content already delivered to a client and published on their own channels is under their control rather than ours, but we will tell you who to contact and let them know you have asked.

04How we use your information

We use personal information only for the reason it was given to us, and for directly related reasons you would reasonably expect. In practice that means:

  • Responding to your enquiry and preparing a quote or proposal
  • Planning, scheduling and running a shoot
  • Producing, reviewing and delivering your content
  • Invoicing you and keeping the financial records we are required to keep
  • Staying in touch about work in progress or work we have delivered
  • Understanding how this website is used so we can improve it
  • Meeting our legal obligations

We do not sell your personal information, and we never will. We do not add you to a mailing list because you sent an enquiry. If we ever start sending marketing emails, it will be because you asked us to, and every one will have a working unsubscribe link.

05Who we share it with

We share personal information only where we need to in order to run the business. The categories are:

  • Our website and form provider, which receives and stores enquiries submitted through this site
  • Our project management and email systems, where enquiries and client correspondence are recorded
  • Editors and contractors we engage to work on your project, who only receive what they need to do the work and are required to keep it confidential
  • Our payment provider, for invoicing and card payments
  • Analytics and advertising platforms, which receive website usage information as described below
  • Our accountant, and government agencies where we are required by law to disclose something

We do not disclose your information to anyone else without your consent, unless we are required or authorised to by law.

06Overseas storage

Some of the services we rely on are operated by companies based outside Australia, most commonly in the United States and the European Union. That means information such as your enquiry, your correspondence with us, and website analytics may be stored or processed overseas.

We choose established providers who publish their security and privacy practices, and we take reasonable steps to ensure they handle your information consistently with Australian privacy standards. By sending us an enquiry you consent to that overseas storage. If that is a concern for you, call us on 1300 092 636 instead and we will take your details by phone.

07Cookies and tracking

This website uses a small number of cookies and similar technologies:

  • Necessary, which make the site work, including protecting the enquiry form from automated spam
  • Analytics, which tell us in aggregate how many people visit, which pages they read and how far they scroll. We use this to improve the site, not to identify you
  • Advertising, where we run campaigns on platforms such as Google and Meta. These may let us show ads to people who have visited this site, and tell us in aggregate whether a campaign led to enquiries. They do not tell us who you are

You can block or delete cookies through your browser settings, and you can opt out of personalised advertising through your Google and Meta account settings. Blocking cookies will not stop you using this site or sending us an enquiry.

This site also loads fonts from a third party font service, which means your IP address is visible to that service when the page loads.

08How long we keep it

  • Enquiries that do not become projects: kept for up to two years, in case you come back to us, then deleted
  • Client records and correspondence: kept for the length of the relationship and then for as long as we may need them
  • Financial records: kept for at least five years, because Australian tax law requires it
  • Raw footage and photography: archived on our own storage. We keep it so we can go back to a project, and because it remains our property unless we have agreed otherwise in writing

When we no longer need personal information and are not required to keep it, we destroy it or permanently strip anything that could identify you.

09Keeping it safe

We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, modification or disclosure. In practice that means password protected devices and accounts, multi factor authentication where it is available, encrypted backups of our footage storage, and limiting access to the people who actually need it.

No method of storing or transmitting information is completely secure. If a data breach occurs that is likely to result in serious harm, we will notify the people affected and the Office of the Australian Information Commissioner, as required under the Notifiable Data Breaches scheme.

10Seeing and correcting your information

You can ask us what personal information we hold about you, ask for a copy of it, ask us to correct it if it is wrong or out of date, or ask us to delete it where we are not required to keep it.

Email contact@framesmedia.com.au. We may need to confirm who you are before we can release anything. We will respond within a reasonable time, and there is no charge for asking. If we cannot give you what you have asked for, we will tell you why in writing.

11If you are not happy

If you think we have mishandled your personal information, tell us first. Email contact@framesmedia.com.au with the details and we will investigate and come back to you in writing. We would much rather hear about it and fix it.

If you are not satisfied with how we have handled your complaint, you can take it to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

12Changes and how to contact us

We may update this policy from time to time as our business or the law changes. The current version always lives at this address, and the date at the top tells you when it was last revised.
